Production Coordinator

This role is to support the production team with the day-to day operational tasks, ensuring the smooth and timely flow of orders. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities within a fast-paced environment.
You'll be;
- Raising and processing purchase orders for replenishment items to ensure ongoing stock availability.
- Placing PR requests, sale samples and display items in with internal requirements and timelines.
- Processing and tracking PO’s in the system ensuring accuracy of product codes, costs and ship times.
- Liaising with vendors and planning team to confirm quantities, shipment details and timelines.
- Monitoring order status, resolve discrepancies, and escalate any issues.
- Maintaining accurate and up to date label information across ERP(SAP and Akeneo) including revisions, reissuance of purchase orders.
- Updating label data following product name changes and confirmations from marketing team.
- Managing data files to checkpoint, ensuring alignment with current product specifications.
- Requesting translations.
- Maintaining accurate and up-to-date records in SAP, including order details, item and packing information, and production schedules.
- Regularly reviewing outstanding or past-due orders and following up with country managers for status updates.
- Reconciling order data against invoices(Pre-payment, balance and debit notes), flagging discrepancies as needed.
- Liaising with sales, merchandising, country managers, logistics, and other departments to ensure smooth production and delivery workflows.
- Communicating with factories about sample requests, changes in purchase orders, lead times and production issues.
- Tracking vendor shipments and making sure they ship on time.
- Reviewing invoices for metal components, labels, and packaging materials - forwarding them to finance for processing.
- Preparing and dispatching sample parcels as required.
- Supporting ad-hoc administrative and operational tasks related to production and order fulfilment.
- Proactively identifying bottlenecks or issues in production and the supply chain.
You'll have;
- 1-2 years experience in the field ideally.
• Experience in Microsoft suite, especially Excel (Pivot table, VLookup).
• A proactive and reliable mindset, with a flexible approach to changing priorities.
• A team player mentality who collaborates effectively across departments.
• The ability to be calm under pressure able able to work to tight deadlines.
