A key departmental role responsible for administering and optimising Jellycat’s Aprimo Digital Asset Management (DAM) platform. This includes ensuring the system is effectively configured and maintained to support design workflows, asset organisation, and metadata tagging.
The role oversees user access and permissions, ensuring appropriate governance and ease of use across teams. It also provides ongoing support and training to internal stakeholders, enabling efficient access to digital assets and promoting best practice in DAM usage across the wider business.
The role also provides administrative support to the Design Team and the Senior Technical Design Manager, including preparing Letters of Assignment and NDAs, collating design histories for registration, supporting the Legal team, and monitoring timelines, conversion rates, and Design team KPIs. It requires a methodical approach and strong attention to detail.
You'll be;
The Aprimo System Administrator.
Developing deep platform knowledge and providing support to the Design Team and wider business users.
Leading training sessions for contributors, consumers, and new team members who need access to design material (UK, Korea).
Troubleshooting issues encountered by the Design Team through monthly calls with the Aprimo Customer Success Manager.
Managing tickets, including submitting, owning and tracking bugs or defects with Aprimo support.
Maintaining and updating user guides as support for using Aprimo.
Supporting design workflow processes and critical paths.
Working with the Creative Aprimo System Administrator to deliver wider system improvements.
Assigning roles such as consumer and contributor, and allocate view permissions.
Managing asset lifecycle stages (e.g., Draft, In Progress, Approved) and ensuring assets are uploaded correctly.
Ensuring all signed-off collections are fully tagged and filed within the system.
Building the historical design archive and work towards completing Jellycat’s back catalogue.
Scanning and documenting original paper copy artworks when needed.
Maintaining an accurate Excel sheet of all items catalogued and filed.
Reviewing requests to download assets and highlight any restrictions of use.
You'll have;
Experience with Aprimo or similar DAM based system (IT / technical background may be an advantage).
An understanding of file organisation and digital storage.
Familiarity with Microsoft Office, Excel and creative asset formats.
Strong attention to detail and accuracy in data entry.
A methodical approach to reviewing and checking work.
The ability to follow detailed instructions accurately and will be highly organised.
An interest in learning new systems, processes and skills.
An interest in design or creative industries.
The ability to maintain discretion with confidential information.
